Seller policies

PlaneBase LLC — effective July 1st 2026

The short version — List only what you own, describe it accurately, ship it securely, and enter your tracking number in the Collector Center. PlaneBase takes 5% of the item price only. You are paid every Monday after delivery is confirmed.

Seller eligibility

To sell on PlaneBase you must:

Be at least 18 years old.

Complete the seller application and receive approval from the PlaneBase team.

Connect a valid Stripe account to receive payouts.

Provide accurate tax identification information as required by applicable law.

Agree to these seller policies and the PlaneBase Terms of Service.

PlaneBase reviews all seller applications within one to two business days. Approval is at PlaneBase's sole discretion.

Eligible countries

Selling on PlaneBase requires a connected payment account for payouts. Sellers must be based in one of the following 42 supported countries:

Australia, Austria, Belgium, Bulgaria, Canada, Croatia, Cyprus, Czech Republic, Denmark, Estonia, Finland, France, Germany, Gibraltar, Greece, Hong Kong SAR China, Hungary, Ireland, Italy, Japan, Latvia, Liechtenstein, Lithuania, Luxembourg, Malta, Mexico, Netherlands, New Zealand, Norway, Poland, Portugal, Romania, Singapore, Slovakia, Slovenia, Spain, Sweden, Switzerland, Thailand, United Arab Emirates, United Kingdom, United States.

If your country is not listed you are not currently eligible to sell on PlaneBase. We will expand to additional countries as payment infrastructure grows.

Listing standards

All listings must meet the following standards:

Items must be genuine aviation scale models, decals, accessories, dioramas, or related collectibles. No other categories are permitted.

Photos must be your own images of the actual item being sold. Stock photos or manufacturer images may not be used as the primary listing photo.

Descriptions must be accurate — condition grade, scale, manufacturer, airline, aircraft type, and any defects or missing parts must be clearly stated.

All prices must be listed in USD.

You must own the item and have the legal right to sell it.

Counterfeit, replica, stolen, or prohibited items are not permitted under any circumstances.

PlaneBase reserves the right to remove any listing that does not meet these standards without prior notice.

Condition guidelines

Sellers must accurately grade every item using the following standardised condition grades:

New — factory sealed and unopened. The model has never been removed from its original packaging.

Mint in box — opened but in perfect condition. No marks, chips, or wear. All accessories and paperwork present. Box in excellent condition.

Near mint — opened, near perfect condition with only the most minor imperfections. Box may show light shelf wear.

Good — light wear consistent with careful handling and display. Fully intact and displayable. Any imperfections clearly disclosed.

Fair — visible wear, minor damage, or missing accessories. Must be clearly described and photographed. Significantly discounted accordingly.

For parts — significant damage. Sold as-is with no expectation of displayability. Must be clearly marked.

Selecting a condition grade higher than the actual condition of the item is a breach of these policies and may result in account suspension.

Shipping obligations

Sellers are responsible for shipping items promptly, securely, and at the rates set in their shipping template.

Sellers must configure a shipping template in the Collector Center before any listing can go live.

All shipments must include a valid tracking number entered into the order detail page in the Collector Center. Entering a tracking number triggers the automatic buyer notification.

Items must be packaged securely to prevent damage in transit. Double boxing is strongly recommended for high-value or fragile models.

Sellers are responsible for accurate shipping rate configuration. PlaneBase is not liable for losses arising from underpriced shipping templates.

We recommend DHL Ship Now for European sellers and UPS for US-based sellers. Direct links to carrier rate calculators are provided inside the shipping template builder.

Sellers who consistently fail to ship within their stated handling time or who receive repeated shipping complaints may have their listing privileges suspended.

Shipping templates

PlaneBase uses a zone-based flat rate shipping system. Sellers set rates for up to eight destination zones:

United Kingdom, Europe, North America, South America, Australia and New Zealand, East Asia, Middle East, and Rest of world.

Two quantity pricing systems are available:

Tiered boxes — sellers define multiple box sizes with a capacity limit and a surcharge for each upgrade. PlaneBase automatically applies the correct box tier based on the number of items in a buyer's order. The first tier uses the zone base rate. Additional tiers add a surcharge on top.

Combined shipping discounts — sellers set a base rate for the first item and a reduced rate for each additional item in the same order. Best for flat or small items that always ship in the same packaging regardless of quantity.

Sellers may also set country-level overrides within each zone for specific destinations that cost more or less than the zone default.

EU packaging requirements

As of August 12th 2026, the EU Packaging and Packaging Waste Regulation (PPWR) requires that packaging used for goods sold to EU consumers be designed to minimise unnecessary volume and weight. Empty space within a shipped parcel must not exceed 40% of its total volume unless technically unavoidable. This applies to all e-commerce packaging, including outer boxes and protective inserts, with no exemption for small sellers or individual sellers.

Sellers shipping to EU buyers are responsible for using appropriately sized packaging for their item and avoiding excessive void fill or oversized boxes. PlaneBase's tiered box shipping templates are designed to help meet this requirement by matching box size to order quantity.

Depending on your country and packaging type, you may also be required to register with a national packaging compliance scheme and hold a valid Extended Producer Responsibility (EPR) registration. PlaneBase does not provide legal advice on your individual packaging compliance obligations — sellers are responsible for confirming their own requirements under PPWR in their country of operation.

Cancellation policy

Sellers may set their own cancellation policy subject to the following minimum requirements:

Orders cancelled before shipment — minimum 90% refund of the item price. Shipping costs refunded in full.

Orders cancelled after payment but before dispatch has begun — minimum 50% refund of the item price. Shipping costs refunded in full.

Orders already shipped — no cancellation permitted. Buyers must open a dispute through the platform.

Sellers who cancel orders without buyer agreement or who repeatedly fail to fulfil confirmed orders may have their accounts suspended.

Platform fees

PlaneBase charges a flat 5% fee on the item sale price of each completed transaction. This fee is deducted automatically at the time of payout.

Shipping costs are not subject to the platform fee. The 5% applies to the item price only.

A small buyer-side payment processing fee may apply at checkout to cover payment infrastructure costs. This fee is paid by the buyer and does not affect the seller's payout.

Manufacturer partner sellers may be eligible for a reduced fee rate agreed separately with PlaneBase.

Attempting to circumvent the platform fee by completing transactions outside of PlaneBase is a breach of these policies and may result in permanent account suspension.

Payouts

Seller payouts are processed automatically through Stripe on a weekly schedule, paid every Monday.

Funds are held in the PlaneBase platform account until one of the following conditions is met:

The buyer confirms delivery in the app.

Seven days pass after the tracking status shows delivered with no dispute opened.

PlaneBase operates a 21-day payment security window from the date of purchase during the beta period. This means funds may be held for up to 21 days from the purchase date before being transferred to the seller's connected Stripe account. This window exists to protect both buyers and sellers during the beta phase and will be shortened as the platform matures.

If a dispute is opened before either delivery condition is met the transfer of funds is suspended until the dispute is resolved.

Sellers based in Singapore are on a separate payout arrangement and will receive payment instructions directly from PlaneBase on a per-order basis.

Tax and reporting obligations

PlaneBase is required by law to collect tax identification information from sellers and to report seller transaction data to relevant tax authorities.

Sellers based in EU member states — PlaneBase reports seller data annually to the relevant EU member state tax authority under DAC7 (Digital Platform Reporting Directive) for sellers exceeding 30 transactions or €2,000 in gross revenue in a calendar year.

Sellers based in the United Kingdom — PlaneBase reports seller data annually to HMRC under the UK digital platform reporting rules using the same thresholds.

Sellers based in Canada, Australia, and other jurisdictions — equivalent reporting obligations apply as required by local law.

By creating a seller account you consent to PlaneBase collecting and reporting your name, address, date of birth, tax identification number, and transaction data to applicable tax authorities. You are responsible for your own tax filings and for paying any taxes owed on your PlaneBase sales.

US-based sellers generating more than $600 in sales through PlaneBase in a calendar year will receive a Form 1099-K via Stripe.

Store status

Sellers can manage their store availability from the Collector Center. The following status options are available:

Active — store is open. All listings are visible and available for purchase.

Away — store is temporarily unavailable. Listings remain visible but buyers cannot purchase. A return date is displayed on the store profile. Used for short-term absences.

On holiday — same as Away but with a confirmed return date. Recommended for planned absences of a defined duration.

Paused — all listings are hidden from browse and search. No purchases possible. Used when a seller wants to step back without closing permanently.

Sellers are expected to maintain their stated store status accurately. Sellers who leave their store as Active while not processing orders promptly may receive complaints that affect their account standing.

Account suspension

PlaneBase reserves the right to suspend or permanently ban seller accounts for any of the following:

Listing prohibited, counterfeit, stolen, or misrepresented items.

Selecting a condition grade higher than the actual condition of an item.

Accumulating excessive disputes or a pattern of negative buyer feedback.

Failing to ship orders within the stated handling time without communication.

Engaging in fee circumvention or off-platform transactions.

Creating multiple accounts to manipulate reviews or ratings.

Violating these policies or the PlaneBase Terms of Service.

Suspended sellers will be notified by email. Sellers who believe their suspension was applied in error may appeal by contacting planebaseapp@gmail.com within 14 days of suspension.
